1. Information we collect
Information you provide
Depending on the service, Vidcom may receive names, contact details, event information, appointment preferences, order and payment status, photographs or video, gallery-access details, school or team affiliation, and messages you send.
Information from clients and partners
Schools, teams, event organizers and other clients may provide information needed to perform contracted services. Covered student information is addressed separately in the Student Data Privacy Notice and the applicable school agreement.
Basic website information
Web servers and service providers may automatically process standard technical data such as IP address, browser type, device type, requested page, referring page, timestamps and security events.
2. How we use information
Vidcom uses information to:
- respond to inquiries and confirm availability;
- provide photography, video, photo booth, livestream, print, gallery and related services;
- authenticate gallery or image-access requests;
- fulfill orders, process payments through payment providers and provide customer support;
- maintain security, prevent fraud and troubleshoot the website;
- comply with contracts, school instructions and legal obligations; and
- maintain business records and resolve disputes.
Vidcom does not sell personal information or student data. Vidcom does not use covered student data for targeted advertising.
3. Website forms and email
The current inquiry and lookup forms prepare a message in your device’s email application. The website itself does not store the completed form on Vidcom’s web server. Information is sent only if you review and send the prepared email.
Do not enter Student IDs, grades, health information, Social Security numbers, payment-card numbers or other sensitive records into the public forms or an ordinary email. Vidcom may move a request to a verified or secure channel before discussing a private gallery.
4. Cookies and external content
Vidcomphoto.com does not currently place non-essential first-party advertising or analytics cookies. Because no optional tracking cookies are currently deployed on the main site, a cookie preference banner is not presently required for those technologies.
The site loads limited resources or links from third parties, such as hosted fonts, app imagery, social media, gallery, payment or app services. When your browser requests external content or you follow a third-party link, that provider may receive standard connection data and may apply its own cookie or privacy practices.
If Vidcom later adds analytics, advertising or other non-essential cookie technology, this policy and the site’s consent controls should be updated before that technology is activated.
5. When information is shared
Vidcom may share information only as reasonably necessary with:
- authorized Vidcom personnel and production team members;
- vendors supporting galleries, hosting, communications, payments, printing, delivery, security or contracted production;
- the school, team, event organizer or client responsible for the applicable collection;
- a successor in a lawful business transaction, subject to appropriate protections; or
- government authorities or other parties when required by law, court order, safety needs or protection of legal rights.
School-provided information is additionally limited by the applicable contract and student-privacy requirements.
6. Retention and security
Vidcom keeps information only as long as reasonably necessary for the service, customer support, contractual requirements, recordkeeping, dispute resolution and applicable law. Project-specific or school agreements may require shorter or different retention and deletion schedules.
Vidcom uses reasonable administrative, technical and physical safeguards appropriate to the nature of the information. No internet transmission or storage system can be guaranteed completely secure. If a request involves sensitive information, Vidcom may require a different submission or verification method.
7. Children and student information
The public forms are intended for adults, parents, guardians and authorized users. Children under 13 should not submit personal information through this website. A parent or guardian should make the request.
Student information received from a school is handled according to the school’s instructions and contract. Parents and eligible students should make formal education-record requests through the applicable school or district so identity and rights can be verified.
8. Your choices and requests
You may ask Vidcom to access, correct or delete personal information you provided, subject to identity verification and any legal, contractual, archival or school-directed requirement. You may also ask a question about sharing or retention.
For school records, contact the school or district first. For general Vidcom information, email the address below with “Privacy Request” in the subject line.
9. Policy changes
Vidcom may update this policy as services and legal requirements change. The effective date at the top identifies the current version. Material changes will be posted here and, when appropriate, communicated through the relevant service or client relationship.
